Adam Asks The Brandon Bay Half Marathon - Why ACTIVEworks?

As a first time event organiser I can safely say that without the brilliant system that is ACTIVEworks, our whole online registration process would have been far more complicated and stressful. From the very off, Adam O Connor has been with us every step of the way, even during out of office hours and over weekends. He has helped us with every query from set up to category changes to emailing participants, making our life so simple and freeing us up to focus on the more immediate aspects of our event.

ACTIVEworks has provided us with a user friendly, simple to use and super effective system to use for our online registration process. It comes with some really super tools which allow us monitor everything from t-shirt sizes to gender and age of entrants. I really can’t emphasise enough how simple and effective it is to use, and how quickly Adam comes to aid us with any new queries we may have about the system. Being totally new to event organisation & management, ACTIVEworks has been a dream to work with and I have no hesitation whatsoever in recommending it.

Yours in sport,

Damien Finn,
Secretary,
The Brandon Bay half marathon & 10k event committee.

ACTIVE Network - Client Testimonials

Here at ACTIVE we’ve put together some of the feedback from our clients about our services and the new ACTIVEworks Endurance platform. See below some of the testimonials we received– if you have any similar feedback, please get in touch. We always take on board what you think / have to say, so we can continue to make the world a more ACTIVE place.
Click here to see the benefits of ACTIVEworks & the links to set up a free account.

One month after we launched Judgement Day, we were delighted to see 53% of runners were part of a team. Team participation is something we were desperate to increase & ActiveWorks allowed captains to recruit teamates with ease. We switched on pre-paid teams and were amazed to see 15% of our revenue came from people buying places for friends without knowing who was definitely in.
- Mark Buller, Race Director, Judgement Day.

“British Military Fitness has been using ActiveWorks for the past year. The team functionality has been extremely beneficial in increasing the size of each team created, giving them an identity to rally around and has substantially contributed to an increase in revenue of 150% over our last three events.”
Sarah King / Head of Events / British
 Military Fitness – Major Series

“Our entire event was built from the ground up with social media in mind. We want participants to be social when they register, form teams, etc. Our courses are set up to encourage photo opps and we don’t put professional photographers on the course because we want people to take photos with their own phones and share them online. ACTIVE’s registration software is fully integrated with Facebook so when people sign up, they can post to their Walls and recruit friends.”
Dan Hill, Founder, CEO, Electric Run
“ACTIVE’s special offer emails, newsletters and online promotions have increased our web traffic over 400% during key marketing periods. With ACTIVE’s help, we’ve produced simple and effective targeted marketing campaigns to their database of participants – a great asset when introducing a new event to the market.”
Hugo Pettit, Marketing Manager, Threshold Sports

We were attracted to Active Network is that they are committed to innovation, invest in their technology with the purpose of providing the best in class solution. They are market leaders, and have very thorough on boarding and ongoing training and support in place. The system does most of the things we need, and where there is a shortfall on need, there is a commitment to work with us to produce a solution.
The implementation process involved a number of meetings, and on site training sessions for the event and supporter services departments and then ongoing training and support. Nick & Michael coordinated the training and it was obvious that they knew what they were doing. Also, thank you Maria from the technical team, who is always helpful!!
The participant and donor experience has been very smooth – and this has led to an increase in income (through increased sign ups) and enhanced reputation. We are 25% up on registration numbers YOY with many more JustGiving pages activated. The team recruitment tool is brilliant, not only for getting more people to the event, but for our ability to send team fundraising comms.
Our corporate partners have reacted very positively to the new user experience. The time saved by using smart technology is considerable – across many departments.
Holly Lyons, Events Manager, The Prince’s Trust

As always, get in touch if there’s anything you need.

Discount codes to attract more participants

With the vast amount of events being set up, competition is heating up between different events for participants to register.
One tip we have recently come up with is to offer a small discount for certain participants.
Past Participants:
The ACTIVEworks Endurance system provides you with a very easy to use discount tool whereby you can discount either a % or an amount. This can be given to last year’s participants to get them registered again for the race.
“RunIreland Discounts”
Why not set up a special RunIreland promo code to let us promote the discount and get more entries in. We can post this code on the homepage, the Facebook page & the Twitter account to try and increase your numbers with a discount incentive. Get in touch to organise this!
Discount Instructions:
1.     Log into the ACTIVE Works Endurance Sign-In Page
2.     If prompted, select your Organization
3.     Click the event name, located under the Your Events section of the Organization Dashboard
Event Name Location
4.     Click Tools
5.     Click Discounts
Discount Tool Location
6.     Click Create
7.     Enter the Name of the discount
8.     Select the Amount the discount will be for (Amount or Percentage)
9.     Enter the discount Code
10. Enter a description (optional)
11. Select the desired expiration date
12. Enter the Maximum number of uses
13. Select the categories the discount will be applied to
14. Select the additional purchase items the code should apply to

Endurance Events in Ireland - How are they evolving?

With trends in the endurance space changing in Ireland with the likes of mud runs, electric runs, colour runs, adventure races & ultra running becoming more popular I decided to showcase some of the more "unusual" events that we are recently working with.

The Sionnach Relay Series:

Probably the event I was most excited about working with this year. Sligo is the  European Town of sport of sport for 2014 & this is one of the trademark events this year. Inspired by the Ragnar Relay Series in the U.S. Race Director Patrick Mc Carrick is encouraging Irish runners to gather in teams of 8 to take on the 274 KM challenge. While one runner is doing one of the 4 8k loops the rest of the team can relax & take in the atmosphere of the central "hub" where there will be music and other activities. The below link to the youtube video explains the event perfectly - have a look!

http://www.sionnachrelay.com/
https://www.youtube.com/watch?v=Zv1-JZ569zM&feature=youtu.be

"Take the concept of summer time outdoor concerts and combine it with the fun of a charity run and the challenge of a distance race all centered around a tented village for 24 hours, mix in 4 scenic runs, great vendors, and if you want to there will be camping with your team of 8 and you have the Sionnach relay Series. Teams consist of 8 runners and will run as a team a total of 274 Km (170 miles). Each Runner runs approx 34 Km (21 miles) total over 4 loops with a 5 hour average break between loops while their team mates run. The race takes an average of 24 hours to complete. Teams will begin in staggered start times between 11 am and 6 pm on the Saturday depending on the teams average 8k pace. Runner will run with their team through the night around Co. Sligo. Teams will finish on Sunday between 10 am and 6 pm. When the other 7 runners are not running, they will be busy cheering on their teammates and soaking up the party atmosphere at Sionnach Village waiting for the active runner to return to hand off to the next runner."

Surf N Turf - Born 2 Run Events:

Born 2 Run events are the latest events company taking Endurance in Ireland to another level. Growing in popularity, Jane & Carol aim to provide "Great Races in Great Places" in beautiful surroundings. Surf N Turf in Limavady is a multi terrain Half Marathon & 10k on beach, boardwalk, trail & country road. Personally working with Born 2 Run is one of the highlights of 2014 so far.

"Following the success of our Surf 'n' Turf Wexford race last year we are bringing SURF 'N' TURF NORTH to Benone Strand, Limavady, Co. L'Derry. Benone Strand is one of the most awesome beaches in Ireland offering stunning views across to the Inishowen Peninsula in Donegal and also Scotland.  Benone has seven miles of beautiful unspoiled blue flag beach which runs between Castlerock and the Magilligan Peninsula.  SURF 'N' TURF NORTH will offer runners a choice of a half marathon or a 10K and will be a multi-terrain mix of beach, boardwalk, trail and country road."

 The Picnic Paint Run:

I love Jackie and I also love her event. The Picnic Paint Run follows the Color Run concept & is based on the grounds of the infamous "Electric Picnic" festival.  Another "hyper social" event, get a team together and prepare for some multi-coloured fun!

"How does it work? You should wear old white clothes and preferably sunglasses and at each 1km stage you are blitzed by volunteers in a different colour paint powder. At the end of the run you will have a smile from ear to ear and will look tie-dyed!This is not a race and is not timed, the emphasis is on having a healthy, fun afternoon. To keep the party atmosphere alive, we will have a DJ at one of the many stages available on the estate."

Ultimate Survivor:

Bringing you an Adventure Race from the hills of Donegal, Ultimate Survivor has big plans of releasing more than one event this year. I'd advise keeping an eye on this one as new obstacles will be released as the days go by.

"The toughest 10k run in the Northwest is coming to Letterkenny on July 19th.    This is an exciting challenge on a gruelling terrain in the wilderness of the hills of Donegal, packed with demanding obstacles that's sure to test your mental and physical endurance and stamina! For the beginners the course will also include a 5k option which will be just as challenging but with only half the distance to cover! So everyone can have a go!   Also a MASSIVE Survivor Pack full off goodies is available for each participantEvent schedule and times"

http://www.ultimate-survivor.com/

Energia 24 hour hour - Belfast:

Fancy yourself as an Ultra Runner? See how much distance you can cover in 24 hours! Ed Smith's 24 hour race is growing in popularity year on year as running continues to grow in popularity year on year.

"It says on the T-Shirt 'Beyond Limits' and that's where you'll go in this track -based race where the support you'll get is second to none. There is a £500 prize for the man and woman who goes the furthest , bonuses for track records and specail awards for passing 100 miles. There is also a 12-Hour option and a Team Relay for teams of 4(must include at least one woman) each doing 3 stints of 2 hours. "

Hell Mountain Challenge:

My personal favorite, down in Kerry The Hell Mountain Challenge is something so different. Just go on to their FB page to see the course map - it looks class! Entries only opened this week on the new ACTIVEworks Endurance platform & I'm sure Gerard won't mind me saying he loves it.

"Hell Mountain is an adventure run unlike any other. A true test of endurance – the run takes you to the summit of a mountain with some of the most spectacular views on the Kerry coast. But all is not as it seems – the track is littered with surprise obstacles and challenges, sure to get your heart beating and adrenaline pumping."

The Connemara 100:

What kind of son would I be if I didn't mention my father's legendary CNM 100 event. He has already conquered the Ultra Running scene with the Ultra Marathon option of the Connemarathon. The CNM 100 takes it to a new level. Run 100 miles through Connemara's mountains in the ultimate Endurance challenge.

"THE CONNEMARA 100 on the West Coast of Ireland is run over a measured
and certified course. The 2012 event was AAI permitted and awarded an IAU Bronze Label. The course is simply fabulous, taking participants from Clifden through Letterfrack,
Leitirgeish, the Inagh alley, Maam Cross, Leenane, Inagh Valley again,
then on to Roundstone, Ballyconeely and back to Clfden to complete 100 miles.
The scenery is needless to say fantastic..."

Adam Asks: The New ACTIVE Works Endurance Entry System, what’s all the fuss about?

To my friends and colleagues in the ACTIVE offices, I know it’s been tough listening to me in the last 6 weeks speak about nothing except ACTIVE Works Endurance – About how it does everything a registration system should do, how it simplifies the process for both the participant & the organiser, how it’s going to make the world a better place etc etc. I’m sorry but I have been waiting for its launch in Ireland since I moved to the team and now all my hopes & dreams have come true.
The dust is settling now on this cold December morning. 10 organisers are live on the system & over 10 more are building their forms out as we speak. Every day I am showing the system to a new person & every day I am getting the same reaction: “Send me the link to set up an account & let me play around with it”. So my blog today is obviously about the new system, what makes it great? I’ve focused on 3 main aspects: User Interface, Event Set Up & Social Media Integration.
-
  - User Interface:
When I send the link for an organiser to share my computer screen & see the backend of the system they will see the new main “dashboard” area. The first thing you will notice is the QR code. Every event is given a unique QR code. When placed on your advertising material such as posters, signs or leaflets, a participant can scan the code with their smart phone and be brought directly to the registration page from wherever they are. Research has shown us that 24% of registrations come through smart phones & tablets so we’ve recognised that mobile optimisation is key.
Under the QR code, you’ll see a registration trend graph & participant demographics chart. The trend graph gives you a visual overview & the spikes of registration activity showing you at a glance if online entries are speeding up, slowing down or coming in consistently at a steady pace. The demographic chart shows you what percentage of your entries are male and female, average age of your participants, oldest & youngest competitors etc. Above the QR code is a revenue overview – Here you can see how much revenue came into your event “this day”, “this week”, “this month” & “this year”.

-         - Event Set Up:
The set up section where you build your form and entry system is broken down into an easy to follow 12 step process:
1.       Event Details:
·         Self-explanatory:  Name, Location, date(s) & language are added.
2.       Event Restrictions:
·         Set a limit of registrations allowed in the event
·         A minimum age. You can add a min. to the age on the day of the event or the day the participant registers.
·         Decide if someone can enter someone else or if every individual has to enter themselves
3.       Registration Categories:
·         Here is where you add the categories ie. Different distances / different prices.
·         Add a price to the category. You can add in an early bird price change & date here.
4.       Self – Registration Team Set – Up:
·         Decide how many participants can enter as a team. Note that each team member can enter individually, you do not have to force one person to pay for the whole team.
5.       Self Edit Set Up:
·         This page is designed to save you time & let the participant make changes to their registration rather than the organiser having to make database changes.
·         You can set a last date for them to make changes so you know when you will have your final updated entry list.
·         You can allow participants to transfer to another category. Eg another date of a series or from one to distance to another.
·         You can allow a participant to transfer their entry to another participant if they cannot make it. You can again put a last date on this & even an admin fee.
6.       Form Questions:
·         Here is where you add any questions you need to the form. Click edit form to add.
·         You will see ACTIVE has some suggested questions to add on the left hand side.
·         If your question that you want to add is not there you can click custom questions.
·         The questions are “draggable” so you can re-order them in any sequence you like.
7.       Fundraising:
·         Not applicable to Ireland yet. JustGiving integration coming soon.
8.       Additional Purchases:
·         Should you have any merchandise to sell, you can sell it here.
·         This section is so advanced that you can also add images of the product creating an “in-form shop”
9.       Waivers:
·         Create a disclaimer for your event.
·         Note that this will be alongside ACTIVE’s waiver for using the technology.
10.   Confirmation Message:
·         Add customised confirmation emails which are sent to all entered participants.
·         Very advanced set up, even customising the top banner of the email for brand awareness.
11.   ACTIVE.com Listing:
·         Create your ACTIVE.com calendar listing for the calendar.
·         This also appears on the RunIreland.com website.

12.   Activation:
·         Decide when to make your form go live.

-         - Social Media Integration:
As I said before, ACTIVE Works Endurance aims to make the registration as easy as possible for both organiser & participant. The participant has a couple of log in options to enter the event, through their ACTIVE.com log in or through their Facebook page.
The idea behind the Facebook log in is to turn your participants into your promoters. We have found that the place where most people hear about an event is through “word of mouth” or referrals from a friend. AWE takes full advantage of this fact. When the registrant goes through the entry & completes their transaction they are given a pop up screen asking do they want to share that they have just registered on their page. This will show up on all their friends homepage creating a viral marketing effect around your event.

There’s lots more to AWE including reporting tools, monthly or weekly payments, customised confirmation emails so you can get in touch with me to either receive the links to set up an account & have a look or book an online meeting with me to run you through the system by sharing my screen.
Thank you as always for reading.
